Entertainer Partnership & Protection Requirements

At Sanctuary Social, we value the energy, talent, and professionalism our entertainers, vendors and partners bring to our space. Our goal is to create a seamless, safe, and elevated experience for our guests — and that includes ensuring we have clear partnership guidelines in place.

To protect both you and our venue, the following items are required for all contracted entertainers.

Clear expectations allow us to focus on what matters most:

  • A welcoming atmosphere 
  • An elevated guest experience 
  • A stage where talent shines

🎛 Equipment & Safety Standards

Entertainers are responsible for:

  • Securing all cords, cables, and equipment safely 
  • Maintaining volume levels consistent with venue expectations 
  • Ensuring equipment is in safe working condition 
  • Removing all equipment promptly following the performance 

Sanctuary Social is not responsible for damage, loss, or theft of entertainer equipment.

🤝 Mutual Protection & Professional Standards

As a hospitality-driven venue:

  • We maintain liquor liability and general venue insurance. 
  • Entertainers maintain their own performance-related liability. 
  • Both parties operate as separate, independent businesses. 

This structure protects everyone while allowing us to continue offering live entertainment in a safe and professional environment.

🎛 Venue Equipment Use & Responsibility Clause

Sanctuary Social may provide access to select in-house audio equipment, including speakers and mixer, for performance use.

All other instruments, cables, microphones, stands, specialty adapters, and personal gear must be supplied by the Performer unless otherwise agreed in writing.

Use of venue equipment is a privilege extended as part of the performance arrangement and may be withdrawn at management’s discretion.

At Sanctuary Social, we value the talent and energy our entertainers bring to the guest experience. As part of our hospitality commitment, the following benefits apply when you are scheduled to perform.

📋 Required Documentation

To ensure a smooth and professional working relationship, all entertainers performing at Sanctuary Social must review our performance guidelines and complete the required documentation prior to receiving payment.

Within this section you will find:

  • Required vendor and entertainer documentation 
  • Insurance and liability requirements 
  • The Master Entertainer Contract Agreement 
  • W-9 forms 
  • The Insurance Waiver Addendum (for eligible solo performers) 

These forms are available here for your convenience so they may be reviewed, downloaded, or completed in advance of your performance.

For entertainers who prefer to complete documentation in person, printed copies of all required forms will also be available on-site at Sanctuary Social.

Please note that all required documentation must be fully completed, signed, and dated before payment can be issued.

We appreciate your partnership and look forward to working with you to create exceptional experiences for our guests.

🎵 Solo Performer Policy

For single-performer acoustic sets (no staging, minimal equipment), Sanctuary Social requires:

• Signed Independent Contractor Agreement
• W-9 Form
• Agreement to hold venue harmless for performance-related claims

Insurance is strongly encouraged but may be waived at management discretion for low-risk performances.

Performer remains responsible for:

  • Safe equipment placement 
  • Sound levels 
  • Equipment removal

Independent Contractor Agreement (Signed)

All entertainers perform as independent contractors, not employees of Sanctuary Social.

This agreement confirms:

  • You control your performance and artistic content 
  • You are responsible for your own taxes and reporting 
  • You provide your own equipment unless otherwise arranged 
  • You agree to hold Sanctuary Social harmless for claims arising from your performance or equipment 

This protects both parties and keeps expectations clear.

W-9 Form

A completed IRS Form W-9 is required prior to payment processing for 1099-NEC reporting purposes.

Certificate of Insurance (COI)

We require entertainers to carry General Liability Insurance with:

  • $1,000,000 per occurrence 
  • $2,000,000 aggregate

Sanctuary Social must be listed as Additional Insured on the certificate.

This ensures:

  • Protection for both the entertainer and venue 
  • Coverage for guest injury claims related to performance equipment 
  • Protection against property damage caused by cords, speakers, lighting, etc. 

Most performer policies are affordable and can often be obtained annually or per event.

Insurance Waiver Addendum (Solo Performers)

Sanctuary Social recognizes that some solo musicians and individual entertainers may not carry commercial liability insurance.

In these cases, a performer may complete a Solo Entertainer Insurance Waiver Addendum in lieu of providing a Certificate of Insurance.

This waiver confirms that the entertainer:

  • Is operating as an independent contractor 
  • Acknowledges they are responsible for their own equipment and activities 
  • Releases Sanctuary Social from liability related to their performance, equipment, and actions while on property 

The Insurance Waiver Addendum is only permitted for low-risk performances, such as:

  • Solo musicians 
  • Acoustic performers 
  • Individual instructors or presenters 
  • Entertainers using minimal equipment

A Certificate of Insurance is required and the waiver cannot be used when the entertainer or vendor:

  • Performs as a band, group, or DJ with multiple members
  • Brings large sound systems, staging, lighting rigs, or electrical equipment 
  • Brings third-party staff, assistants, or crew 
  • Provides instructional classes or activities involving guest participation 
  • Conducts large-scale events or amplified entertainment 

In these situations, liability exposure is greater and insurance coverage is required to perform at Sanctuary Social.

🎶 Entertainer Hospitality Benefit

For Contracted Performers Only

At Sanctuary Social, we value the talent and energy our entertainers bring to the guest experience. As part of our hospitality commitment, the following benefits apply when you are scheduled to perform.   


This hospitality benefit applies exclusively to compensated entertainers performing on behalf of Sanctuary Social, including musicians, DJs, and trivia hosts.

It does not apply to outside vendors, instructors, guest speakers, co-hosted partners, or third-party event organizers unless explicitly approved in writing.

🍸 Alcoholic Beverage Allowance

  • Entertainers receive up to two (2) alcoholic beverages per performance. 
  • Each beverage may not exceed $10 in menu price. 
  • The maximum total discount per performer is $20 total. 
  • Any amount exceeding $20 is the entertainer’s responsibility.

 

Examples:

  • $9 cocktail + $11 cocktail = $20 total → $0 owed 
  • $10 cocktail + $11 cocktail = $21 total → Performer owes $1 
  • Two beverages totaling $18 → $0 owed (unused balance does not roll over)

☕ Complimentary Non-Alcoholic Beverages

The following are complimentary during your performance shift:

  • Soda 
  • Regular coffee 
  • Decaf coffee 
  • Standard hot tea 

Specialty café beverages (lattes, cappuccinos, espresso drinks, specialty syrups, etc.) are not complimentary and will count toward the two-drink / $20 allowance.

🍽️ Performer Meal Discount

  • Entertainers receive 25% off their meal only while performing. 
  • This discount may be used: 
    • Before the performance 
    • During break 
    • After the performance

Important:

  • The discount applies only to the performing entertainer’s meal. 
  • It does not apply to family, friends, band members, guests, or crew. 
  • Alcohol is not included in the 25% meal discount. 
  • All items must be rung properly in the POS system. 
  • The discount applies only on scheduled performance dates.

🔄 Beverage Allowance in Lieu of Alcohol

If an entertainer chooses not to consume alcoholic beverages during their performance:

  • The entertainer may elect to apply the $20 beverage allowance toward their meal instead of alcohol. 
  • This allowance may not be combined with the 25% meal discount. 
  • The maximum substitution value remains $20 total. 
  • Any amount exceeding $20 will be the entertainer’s responsibility. 
  • This substitution applies only to the performing entertainer’s meal and does not extend to guests.

General Policy Notes

  • All beverages and food must be properly rung into the POS system. 
  • Entertainers must place all food and beverage orders directly through the Bartender or Manager on Duty only. 
  • Entertainers may not order hospitality items through table service with a server. 
  • Benefits apply only during the scheduled performance date. 
  • Benefits are non-transferable and apply only to the performing entertainer. 
  • Benefits have no cash value and do not roll over. 
  • Management reserves the right to modify or revoke hospitality benefits if policies are not followed.

Entertainer Conduct & Professional Expectations

Sanctuary Social is committed to providing an exceptional guest experience. All entertainers performing at the venue are expected to maintain a professional standard of conduct that aligns with our brand, atmosphere, and service environment.

Professional Conduct

Entertainers represent the Sanctuary Social brand while performing on property and are expected to:

  • Treat guests, staff, and management with professionalism and respect 
  • Maintain appropriate language and behavior suitable for a public hospitality environment 
  • Follow all venue guidelines provided by management or the Music Entertainment Director 

Management reserves the right to address or correct any behavior that may negatively impact the guest experience.

Volume & Sound Levels

Entertainment must be performed at appropriate volume levels that complement the dining and social environment.

  • Management may request volume adjustments at any time. 
  • Entertainers are expected to promptly comply with these requests. 
  • Excessive volume that disrupts guest experience or service operations may result in immediate correction. 

Setup & Breakdown Expectations

Entertainers are responsible for the setup and breakdown of their equipment.

  • Setup should occur before scheduled performance time to ensure performances begin promptly. 
  • Breakdown should occur promptly following the completion of the performance unless otherwise directed by management. 
  • Equipment must be placed only in designated performance areas and must not obstruct service paths or guest seating. 

Any special setup needs should be coordinated in advance with the Music Entertainment Director or management.

Interaction with Guests

Entertainers are encouraged to engage positively with guests, however:

  • Interactions must remain professional and respectful at all times. 
  • Entertainers should avoid behavior that disrupts service operations or guest dining experiences. 
  • Entertainers should not solicit tips, sell merchandise, or promote outside events without prior approval from management. 

Alcohol Policy

Entertainers performing at Sanctuary Social are expected to maintain a professional presence while on property.

  • Alcohol consumption during performances should remain limited and professional. 
  • Entertainers may not become visibly intoxicated while performing or representing the venue. 
  • Management reserves the right to limit or discontinue alcohol service to entertainers if necessary.
